Supplier onboarding and verification
Collect what only a supplier can state, with its documents and an identity check of the person acting for it, in one request.
Who it is for: Finance, procurement and accounts-payable teams onboarding suppliers, including UAE businesses verifying suppliers for input tax.
Scenario: You need the same information and documents from every new supplier, and a record you can find again.
The problem
Supplier details arrive by email, in attachments and in spreadsheets kept by different people. Licences and identity documents are chased one message at a time, and nobody can say quickly which supplier sent what, or when.
What can happen
- A supplier is set up, or its details are changed, on the strength of an email nobody checked.
- Onboarding stalls while the right document is chased.
- When an auditor asks how a supplier was verified, the answer is spread across inboxes.
Legal and regulatory context
In the UAE, Federal Tax Authority Decision No. 13 of 2026 sets out measures a taxable person takes to verify a supplier before deducting input tax. What it requires of your business, and for which suppliers, is for you and your adviser to decide.
This is context, not legal advice about your obligations.
A better process
Send each supplier one link. The supplier states who it is, how it is incorporated or identified, who acts for it and where it operates, uploads its documents, and the person acting for it verifies their identity. Everything is filed against one request.
How UMNIII Verify helps
UMNIII Verify puts the supplier’s statements, its documents and the identity check of its representative into one request with one evidence record, so onboarding follows the same steps for every supplier.
UMNIII templates for this
- UAE FTA Supplier Verification. Identity verification, the supplier information forms and the supplier’s documents. Written for UAE supplier verification and offered to Workspaces working in the UAE, and to personal Workspaces.
Which Verify features help?
- Custom information forms
- The supplier states its details, its type, its incorporation or identity, its authorised representative and its place of business.
Establishes: A structured record of what the recipient told you, filed against the request.
Does not establish: An answer is not independently verified because it was collected through Verify. It is what the recipient said. - Document requests and uploads
- The supplier uploads its licence or incorporation documents, identity documents and evidence of its place of business.
Establishes: That the recipient uploaded these files against this request, and when.
Does not establish: An upload does not establish that a document is genuine, valid, current or the recipient’s own. - Identity verification
- Confirms the identity of the person acting for the supplier.
Establishes: That a government-issued photo ID was checked for authenticity and matched to a live selfie of the person presenting it.
Does not establish: It does not establish an address, a right to work or rent, creditworthiness, a driving entitlement, or anything about a company. - Business verification (KYB)
- Where your process needs the company itself checked against registry records, with its associated people, rather than only described.
Establishes: A company check: a registry lookup where records are available, company documents, and checks on the company’s associated people, its officers and beneficial owners.
Does not establish: It is not a credit check, and it does not decide whether to do business with the company.
Optional, added separately
- Business verification (KYB): When your process calls for the company to be verified, not only described.
- Standard AML screening: When your own policy screens the person acting for a supplier.
Information that may be collected
- Legal and trading name, and country
- Whether the supplier is a company or an individual
- Incorporation or identity details
- Who is authorised to act for the supplier
- The place of business and what happens there
Documents that may be requested
- A trade licence or incorporation document, for a company
- A proof of identity, for an individual or a representative
- Proof of authority, for someone acting for a company
- Evidence of the place of business
Countries and coverage
- Outside the UAE process, build supplier onboarding from the same parts in the composer and save it as your own template.
What Verify does not do here
- Verify records what the supplier states and the documents it uploads. It does not conclude whether a supplier, a supply or an input-tax deduction is valid; that assessment is yours.
How to create or adapt the workflow
- In UMNIII Verify, open the Dashboard. In “Send verification invite”, choose “UAE FTA Supplier Verification” in “Start from a template”. Review what it fills in: any part can be changed for one request, and the quote follows what is selected.
- Outside the UAE process, compose from scratch instead: tick “Verify identity”, “Collect information (forms)” and “Request documents”, and choose the supplier forms and documents you need.
- Add any optional check only where it genuinely fits your process. None is added by default.
- Enter the recipient in “Invitee Email”, choose how long the link lasts in “Link expires after” and, where offered, whether to “Send reminders”. Then press “Send verification invite”.
Save and reuse it as a template
- Once the composition is right, an owner, admin or member of the Workspace presses “Save as template”, gives it a name and, optionally, a description.
- From then on it appears in “Start from a template” beside the UMNIII templates. Choosing it fills in the request, every part stays editable for that one request, and choosing a template sends nothing on its own.
- To adapt a UMNIII template, choose it and press “Copy to this Workspace”. The copy is yours to change; the original is unchanged.
- A saved template is not edited in place. To change one, apply it, adjust the composition and save it again under a new name.
- Your Workspace’s own and copied templates are listed under Other / General in the credit calculator inside UMNIII Verify.
Templates, forms and guides
- UMNIII system template
- A ready-made workflow that UMNIII provides. It is labelled UMNIII in the product, and your Workspace cannot change it.
- Workspace template
- A workflow someone in your Workspace has saved for reuse. It belongs to your Workspace.
- Copied template
- A UMNIII template copied into your Workspace so it can be adapted. The copy is yours and the original is unchanged.
- Reusable information form
- A set of questions your Workspace writes once and attaches to any request or template.
- Workflow guide
- An explanation like these pages. A guide is not a template: unless it says a UMNIII template is available, it describes a setup you build yourself.
Next step
Use the UMNIII template in UMNIII Verify, or copy it into your Workspace and adapt it. Current prices are shown in the product before you send anything.
