UMNIII template availableAutomotive: vehicle sales and rental

Vehicle rental and hire

Collect a renter’s details, the rental, an emergency contact and the documents you ask for, with what an upload does not prove stated plainly.

Who it is for: Vehicle rental and hire businesses, and fleet operators renting to individuals or companies.

Scenario: A customer books a rental and you need their details, the rental period, declarations and supporting documents before collection.

The problem

Renter details, licence photos and booking dates are spread across booking emails, messaging apps and a paper form at the counter.

What can happen

  • Collection takes longer at the counter while details are re-entered.
  • Renters’ documents sit on staff phones and in inboxes.
  • A booking’s details are hard to find when a question comes up later.

A better process

Send each renter one link before collection. They state their details, the vehicle and dates, an emergency contact, confirm the declarations and upload what you ask for.

How UMNIII Verify helps

UMNIII Verify gives the rental desk a lightweight, ready-made workflow made only of an information form and a document request, completed before the customer arrives.

UMNIII templates for this

  • Vehicle Rental / Hire Details & Documents. One information form and one document request, with no identity, AML or business check by default. Offered in every market.

Which Verify features help?

Custom information forms
Renter and contact details, individual or company renter, the vehicle or category, rental dates, other drivers, an emergency contact, declarations and consent.
Establishes: A structured record of what the recipient told you, filed against the request.
Does not establish: An answer is not independently verified because it was collected through Verify. It is what the recipient said.
Document requests and uploads
The documents you ask for, for example identification or a driving licence, with your instructions.
Establishes: That the recipient uploaded these files against this request, and when.
Does not establish: An upload does not establish that a document is genuine, valid, current or the recipient’s own.
Identity verification
Optional: where you need the renter’s identity verified, not only their documents collected.
Establishes: That a government-issued photo ID was checked for authenticity and matched to a live selfie of the person presenting it.
Does not establish: It does not establish an address, a right to work or rent, creditworthiness, a driving entitlement, or anything about a company.

Optional, added separately

  • Identity verification: When you need the renter’s identity verified.
  • Business verification (KYB): Only where a company renter must genuinely be verified.

Information that may be collected

  • Renter and contact details
  • Individual or company renter, with company details
  • Vehicle or category, rental dates and pick-up location
  • Whether anyone else will drive
  • An emergency contact, where appropriate
  • Declarations and consent

Documents that may be requested

  • Identification, where you ask for it
  • A driving licence, where you ask for it
  • Other rental documents your process needs

What Verify does not do here

  • Uploading a driving licence or another document does not verify its authenticity or validity, the renter’s driving entitlement, their insurance eligibility or their suitability to rent. Verify does not check any of these.
  • Collected answers are what the renter stated.

How to create or adapt the workflow

  1. In UMNIII Verify, open the Dashboard. In “Send verification invite”, choose “Vehicle Rental / Hire Details & Documents” in “Start from a template”. Review what it fills in: any part can be changed for one request, and the quote follows what is selected.
  2. To adapt it, press “Copy to this Workspace” and change your copy, for example the document instructions.
  3. Add any optional check only where it genuinely fits your process. None is added by default.
  4. Enter the recipient in “Invitee Email”, choose how long the link lasts in “Link expires after” and, where offered, whether to “Send reminders”. Then press “Send verification invite”.

Create a reusable information form

  • Owners, admins and members create forms under Custom Forms in UMNIII Verify: a name, then each question with its type, whether an answer is required, and any help text.
  • Preview the form as the recipient will see it, save it, and it is offered under “Your forms” whenever a request is composed.
  • One form can be attached to any number of requests and templates. Editing it changes future requests only; a request already sent keeps the questions it was sent with.

Save and reuse it as a template

  • Once the composition is right, an owner, admin or member of the Workspace presses “Save as template”, gives it a name and, optionally, a description.
  • From then on it appears in “Start from a template” beside the UMNIII templates. Choosing it fills in the request, every part stays editable for that one request, and choosing a template sends nothing on its own.
  • To adapt a UMNIII template, choose it and press “Copy to this Workspace”. The copy is yours to change; the original is unchanged.
  • A saved template is not edited in place. To change one, apply it, adjust the composition and save it again under a new name.
  • Your Workspace’s own and copied templates are listed under Other / General in the credit calculator inside UMNIII Verify.
