UAE company formation: shareholder onboarding

Collect shareholder details, declarations and documents for a new UAE company, for individual and corporate shareholders.

Who it is for: Company formation agents and corporate service providers setting up UAE companies.

Scenario: Each shareholder of a new company, a person or a company, supplies their details, declarations and documents.

The problem

Shareholder information arrives in pieces: a passport by email, a certificate of incorporation by messaging app, ownership percentages in a spreadsheet. Each formation starts from a blank email.

What can happen

  • Formations are delayed while one shareholder’s documents are chased.
  • Details are copied by hand between messages and forms, and errors creep in.
  • Nobody can see at a glance which shareholders are complete.

A better process

Send each shareholder the template that fits them. An individual shareholder verifies their identity and supplies their details and proof of address; a corporate shareholder’s representative supplies the company’s registration, activity, directors and shareholders, with its documents.

How UMNIII Verify helps

UMNIII Verify gives each kind of shareholder a ready-made request, so every formation asks the same questions and every shareholder’s file looks the same.

UMNIII templates for this

  • UAE Company Formation: Individual Shareholder. Identity verification, individual and shareholder details, source of funds, declarations and proof of address.
  • UAE Company Formation: Corporate Shareholder. Identity verification of the representative, the company’s registration, activity, directors and shareholders, declarations, and its registration certificate, shareholder register and director identity document.

Which Verify features help?

Identity verification
Confirms the identity of an individual shareholder, or of the person acting for a corporate one.
Establishes: That a government-issued photo ID was checked for authenticity and matched to a live selfie of the person presenting it.
Does not establish: It does not establish an address, a right to work or rent, creditworthiness, a driving entitlement, or anything about a company.
Custom information forms
Shareholder details, source of funds, the PEP and sanctions declaration and the client declaration; for a company, its registration, business activity and directors.
Establishes: A structured record of what the recipient told you, filed against the request.
Does not establish: An answer is not independently verified because it was collected through Verify. It is what the recipient said.
Document requests and uploads
Proof of address for an individual; registration certificate, shareholder register and director identity document for a company.
Establishes: That the recipient uploaded these files against this request, and when.
Does not establish: An upload does not establish that a document is genuine, valid, current or the recipient’s own.
Business verification (KYB)
For a corporate shareholder, checks the company against registry records and checks its associated people, including its beneficial owners.
Establishes: A company check: a registry lookup where records are available, company documents, and checks on the company’s associated people, its officers and beneficial owners.
Does not establish: It is not a credit check, and it does not decide whether to do business with the company.

Optional, added separately

  • Business verification (KYB): For a corporate shareholder, when you need the company verified rather than only described.
  • Standard AML screening: When your policy screens shareholders.

Information that may be collected

  • Individual or company details
  • Shareholding and ownership percentage
  • Source of funds
  • PEP and sanctions declaration and client declaration
  • For a company: registration, business activity, directors and persons with significant control

Documents that may be requested

  • Proof of address, for an individual shareholder
  • Company registration certificate, shareholder register and director identity document, for a corporate shareholder

Countries and coverage

  • Both templates are written for UAE company formation and are offered to Workspaces working in the UAE, and to personal Workspaces. For formation elsewhere, compose your own and save it.
  • UBO stands for ultimate beneficial owner: the natural person who ultimately owns or controls the company, even where the shares are held through other companies.

What Verify does not do here

  • Verify does not file anything with a licensing authority or registry, and does not decide whether a shareholder is acceptable.

How to create or adapt the workflow

  1. In UMNIII Verify, open the Dashboard. In “Send verification invite”, choose “UAE Company Formation: Individual Shareholder” or “UAE Company Formation: Corporate Shareholder” in “Start from a template”. Review what it fills in: any part can be changed for one request, and the quote follows what is selected.
  2. Add any optional check only where it genuinely fits your process. None is added by default.
  3. Enter the recipient in “Invitee Email”, choose how long the link lasts in “Link expires after” and, where offered, whether to “Send reminders”. Then press “Send verification invite”.

Save and reuse it as a template

  • Once the composition is right, an owner, admin or member of the Workspace presses “Save as template”, gives it a name and, optionally, a description.
  • From then on it appears in “Start from a template” beside the UMNIII templates. Choosing it fills in the request, every part stays editable for that one request, and choosing a template sends nothing on its own.
  • To adapt a UMNIII template, choose it and press “Copy to this Workspace”. The copy is yours to change; the original is unchanged.
  • A saved template is not edited in place. To change one, apply it, adjust the composition and save it again under a new name.
  • Your Workspace’s own and copied templates are listed under Other / General in the credit calculator inside UMNIII Verify.
